Questions we hear all the time.
We already have a CRM. Do we still need this?
Almost every firm we work with already has a CRM. The question is whether the CRM is doing the job it was bought to do. Most are full of data but not actually running the business. We integrate with what you have and replace only what is genuinely broken. The software is the foundation. The way the business runs is the asset we build.
Can we just hire a Head of Operations or a COO?
If you can hire the right one, yes. A COO at this stage runs $225K to $350K in total cash compensation, before recruiter fees, onboarding costs, or the six to nine months it takes them to ramp. Most founders find the system still isn't built by the time that clock runs out. Many use us to build the operating foundation first, then hire someone to run it. We hand off cleanly when the right hire is ready.
We tried an agency before and it did not work. How is this different?
Most agencies deliver a deck, a Zapier setup, and a long invoice. Business Sound is built on operator experience, not advisory distance. The people leading your engagement have run the functions they're building - revenue, operations, delivery. We don't recommend. We build. The system is yours when we're done. If the audit shows we're not a fit, we say so in writing. No sales pitch.
What if we are not a fit?
The audit tells you that in writing. About one in three audits we run end with no engagement recommended. Sometimes the timing is wrong, sometimes the business is not ready, sometimes the work needed sits outside what we do. You walk away with the written report regardless. No sales pitch.
What software do you support?
We work natively with six platforms for CRM and customer communication: ActiveCampaign, HubSpot, Salesforce, Klaviyo, Mailchimp, and Zoho. We integrate with the case management, accounting, billing, or industry tools you already run. If your software is something unusual, we scope it in the audit.
How long does the engagement actually take?
The free audit is two weeks. After the audit, the GTM Plan is 90 days. Build and Run is typically two to four months depending on scope. The Fractional Operating Partner engagement is a six month minimum and continues from there. Total time from audit to fully running operations is usually four to six months.
